Using Your Manifest When Shipping

Overview
This document will cover how to use the Shipping Manifest functionality during the shipping process in Savance Enterprise.
Manifest Shipping Settings
Before you begin using the manifests during your shipping process, it is important to make sure you have the proper settings configured.
Go to Admin > Administration > Warehouses> Shipping Settings
There are two settings on this tab that need to be properly set.
If you wish to use your Manifest, make sure the disabled checkbox is NOT checked. Also if you wish to enable Google Stop Addressing (this will organize the delivery addresses in order based on Google maps), you need to make sure that the box is checked.
Manifest Staging Locations
Creating Staging Bin Areas for Manifests
To create specific warehouse locations to be used with your manifests, Go to > Inventory > Warehouse Manager > Location Management.
We are going to focus on the ‘Holding Bins’ section.
By default, Savance has created generic holding bins for your warehouse. These can be used by default however you can add additional sub bins under each one of these areas. When using your manifest we want to organize your Staging, Shipping, and In-Transit bins.
Using the current organization of your warehouse, these will typically be the names/areas that will be used to create these bins, as they will be also used throughout the shipping process.

To create/view a bin location(s), expand the bin section by using the +

To add a new bin select and highlight Staging Bin and right-click and select Add Bin.

Next, you will name, give details and bin type about this location

Continue this process until all Staging bins have been completed.
Creating In Transit Locations for Manifests
After your staging bins have been created next, we will create In Transit that synced with your manifest. Typically the In Transits locations are named/organized the same as your Staging bins.

Go to Inventory > Warehouse Manager > In Transit.

To create an In-Transit location that is attached to Manifest select.

Here you can Add, Edit, and Delete in Transit Locations.

Select ‘Add In Transit Location,’ then at the bottom of the screen, add in the details of the location.

If you want to make this a default Location select the box; if not, the generic ‘In Transit Bin’ will remain the default. Then select Save

Your location will now be loaded to the details at the top.

Continue this process until all locations have been created. If you want to create a generic location i.e. “Main Delivery, Alternate Delivery,” you can do this as well. NOTE: If you use other delivery carriers, you can create locations for these as well so you can stage what is delivered by your company vs. other carriers.
Creating Routes for Manifests
Next, we want to create Routes that will be used in our Manifest. These should match your Staging, and In-Transit bin/locations. The Routes will be used daily, so make sure you include all routes, even if you don’t use them daily.

Go to Inventory > Warehouse Manager > Routes.

To create a Route select.

Here you can Add, Edit, and Delete Routes.

Select ‘Add Route,’ then at the bottom of the screen, add in the details of the location.

Route Name

Choose In Transit Location from your created In Transit locations

Choose a Default Driver Name from your user pool (not required)

You can also choose to Hide in Manifest, this will be the case if you have other delivery carrier locations created i.e. FedEx, UPS.

If you have a generic Route, i.e. Main Delivery and you wish to make this default you can also select this here.

Once done, select Save.

Continue this process until all routes have been created. If you want to create a generic route i.e. “Main Delivery, Alternate Delivery,” you can do this as well. NOTE: If you use other delivery carriers, you can create locations for these as well so you can stage what is delivered by your company vs. other carriers.
Manifest Management
Preparing Manifest for Delivery
During the shipping process, as you add orders to staging areas tied to manifests, they are added to the active manifest dedicated to that staging location. There will always be an active manifest available, as when you change the status of the existing active manifest, a new active manifest will be created in its place. Once you are ready to deliver the material in a given manifest, follow the process below.
Move Manifest to ‘Preparing for Delivery’

Inventory -> Warehouse Manager -> Shipping -> Manifests

Notice that the manifests are shown and can be expanded to show what stops/orders are assigned to the manifest.

At this time, you will edit the manifest and change its status to “Prepare for Delivery.”

Right-click the manifest you would like to deliver and choose “Edit Manifest.”

Change the Manifest Status from “Active” to “Prepare For Delivery”

Click Save

Your manifest will now show “Prepare For Delivery” and will no longer have additional orders or stops added to it unless you manually add them. A new active manifest will automatically be created, and all new orders staged to the relevant staging area will be added.
Move Stops Not being Delivered to Active Manifest
In the scenario, if you want to move any stops/orders that shouldn’t be delivered on this manifest to the new, active manifest.

Right-click the stop you want to move -> Move Stop to Manifest

Choose the active manifest you would like to move the stop to -> Save.

It will now be removed from the “Prepare for Delivery” manifest and added to the applicable “Active” Manifest.
Sorting Stops Manually on the Manifest
If you need to sort the order of the stops on the manifest, follow the following steps.

Expand the manifest you are working on to show all stops.

Click the stop that you want to re-order

Click “Move Up” OR “Move Down” arrow according to what you are trying to accomplish.
Sorting Stops on the Manifest with Google Maps
If you have enabled using Google Maps processing within the admin settings, you will be able to use this technology to sort the delivery locations.

On the Manifest select ‘Sort Stops’

Select Google Maps. NOTE: You can apply the same “Move Up” “Move Down” logic explained in the section above to re-order the stops while getting a visual of the route on the map as well as a list of directions

Now you can print the manifest (Right-click Desired Manifest -> Print Manifest) and physically deliver the material.
Marking the Manifest as Delivered
Once you are back from the delivery, OR the common carrier has picked up material for a given manifest, you are ready to mark the manifest as delivered. By doing this, all orders on the manifest will auto-post to delivered and will flow to AR to be invoiced.

Once you delivered the orders on the route, you will now need to move this manifest to the “Delivered Status.”

Right-click the manifest -> “Mark As Delivered.”

All orders are now posted to ‘Delivered’ and can be invoiced accordingly.
Manifest Common Scenarios
Delivery is thwarted, and material is back in Warehouse
If for some reason, you were unable to deliver material to a stop, you will simply need to move the undelivered stops to another active manifest before marking the manifest “Delivered.”

Right-click the undelivered stop -> Move Stop to Manifest

Choose the correct active manifest you’d like to move the undelivered stop to.

This location will now be added to the new Manifest.
Did not Set Common Carrier Manifest ‘Out for Delivery’ after Picked Up
In the scenario, you forget to set an active manifest to the ‘Prepare for Delivery’ or ‘Delivered’ status after pickup.

Simply mark the existing active manifest as “Prepare for Delivery.”

Move the stops that weren’t taken for the delivery to the new common carrier active manifest.

Mark the “Prepare for Delivery” manifest as “Delivered.”
